This policy explains what information Maybach Systems ("we", "us") collects through the Maybach Systems platform at https://staging.maybachsystems.com, how we use it, who we share it with, and how to contact us about it.
Maybach Systems is software for dealerships that sell portable buildings. Our customers are those dealerships. We process two kinds of information: details about the dealership staff who use the platform, and details a dealership records about its own customers and orders.
Information we collect
- Account information for dealership users: name, email address, phone number, role and the dealership they belong to.
- Business information about each dealership: location, contact details, inventory, pricing and settings.
- Customer and order information that a dealership enters or generates: buyer contact details, quotes, orders, payments and delivery details.
- Demo requests sent from our website: your name, company, email address and number of locations.
- Usage information: pages viewed, actions taken, IP address, browser and device type, and approximate location derived from the IP address.
- Information from connected accounts that a dealership chooses to link, described below.
Google Business Profile
A dealership may connect its Google Business Profile so that Maybach Systems can help it manage its Google presence. Connecting is optional, is done by the dealership itself through Google's sign-in screen, and can be undone at any time.
What we access
- The list of Google business accounts and locations the signing-in user manages, so the dealership can choose which listing to connect.
- Details of the chosen listing, such as its name and address.
- Reviews on that listing: the star rating, the review text, the reviewer's display name and profile photo as Google supplies them, the dates, and any reply already published.
What we do with it
- Show the dealership its reviews inside Maybach Systems.
- Draft a suggested reply to a review, as described under "Artificial intelligence" below.
- Publish a reply to a review on the dealership's behalf. Replies to reviews of three stars or fewer are only published after a person at the dealership approves them. A dealership may also choose to have replies to four and five star reviews published automatically.
What we never do
- We do not sell Google data, and we do not use it for advertising.
- We do not use Google data to train artificial intelligence models, our own or anyone else's.
- We do not share Google data with anyone other than the service providers listed in this policy, who process it only to provide the feature.
- We do not access any Google service the dealership has not connected.
Maybach Systems' use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Storage and disconnecting
The access we are granted is stored in encrypted form and used only to perform the actions above. A dealership can disconnect at any time from the Google Business Profile screen inside Maybach Systems, or by removing our access in its Google account permissions. When a dealership disconnects, we stop accessing Google immediately and delete the stored access. Reviews and replies already saved in the dealership's account are deleted on request.
Artificial intelligence
To suggest a reply to a Google review, we send the review's text, its star rating, the reviewer's first name as shown on the review, and the dealership's business name to OpenAI, which returns suggested wording. We do not send order records, contact details, payment information or anything else about the customer.
OpenAI processes this on our behalf as a service provider. Under our agreement with OpenAI, information sent through its interface is not used to train its models. Suggested wording is a draft only; it is published to Google either after a person at the dealership approves it, or, for four and five star reviews, automatically when the dealership has chosen that setting.
How we use information
- To provide, operate and support the platform.
- To process orders, quotes and payments a dealership records.
- To send messages a dealership asks us to send, such as quote follow-ups and review requests.
- To manage a dealership's connected marketing accounts, including publishing review replies.
- To respond to demo requests and other enquiries.
- To secure the platform, prevent abuse, and meet our legal obligations.
- To improve the platform, using aggregated or de-identified information.
Service providers
We share information with companies that help us run the platform, only as needed for them to do so:
- Google — business listing management and mapping.
- OpenAI — drafting suggested review replies and other written content.
- Resend — sending email.
- Twilio — sending text messages and verification codes.
- Mailchimp — marketing email campaigns.
- Authorize.Net — payment processing.
- Cloudflare — website delivery and security.
We may also disclose information when the law requires it, to protect our rights or someone's safety, or in connection with a merger or sale of our business.
Security
We protect information with measures appropriate to its sensitivity, including encryption in transit, encrypted storage of credentials for connected accounts, and access limited to staff who need it. No system is completely secure, so we cannot guarantee absolute security.
How long we keep information
We keep information for as long as a dealership's account is active, and afterwards only as long as we need it for the purposes in this policy or to meet legal, tax and accounting requirements. Credentials for a disconnected account are deleted when the connection ends.
Your choices
Dealership users can view and correct their account details in the platform. To request a copy of your information, ask us to correct or delete it, or ask a question about this policy, contact us using the details below. Depending on where you live, you may have additional rights over your information, and we will honour those rights where they apply. If you are the customer of a dealership, please contact that dealership first, as it decides what information it keeps about you.
Children
The platform is for business use and is not directed to children under 13, and we do not knowingly collect their information.
Changes to this policy
We may update this policy. When we do, we will change the date at the top, and we will tell dealerships about significant changes before they take effect.
